Purpose of the Role

The Administration Assistant is an integral part of our organisation who support in ensuring that our people, systems, and processes run smoothly every day. By providing reliable administrative support, you’ll help us stay organised, connected, and aligned to our values.

We are looking for a highly motivated person who has experience in administration. We need a flexible team player who is enthusiastic and approachable and can adapt to change swiftly and think on their feet.

2. Role Summary

As our Administration Assistant, you will be responsible for coordinating day‑to‑day operational and administrative activities across the organisation:

  • Working closely with the Executive Support Coordinator, Senior Management Team, Board of Directors, and wider staff
  • You’ll support in the management of meetings, maintain systems and support reporting. This role is varied, collaborative, and central to creating a well‑organised and inclusive working environment.
  • To provide general administrative assistant to the team.
  • To support the wider team in overseeing the office maintenance, upkeep of office equipment and supplies as appropriate.
  • To support in the coordination and administration of internal team meetings
  • Support in the administration required for Board meetings and support in the regular updating of policies and procedures.
  • To effectively use Microsoft Office packages to produce letters, reports, minutes, update spreadsheets and other documents as required.
  • Administration to support Financial Management and reporting.

General duties and other responsibilities:

  • Undertake any training required for the role.
  • Take an active interest in ensuring WBCF operates effectively, according to best practice and fulfils its obligations.
  • Work within the team to maintain and achieve high standards and understand the importance of time management and meeting deadlines.
  • Help to ensure that WBCF embraces diversity, challenges discrimination, and reflects the communities of the borough.
  • The post holder will be expected to undertake other responsibilities and tasks as reasonably requested by their line manager.

The Administration Assistant will play a key role in the WBCF team:

  • Are you passionate about the voluntary, community, faith and social enterprise sector? Ideally, we are looking for someone who understands the local VCFSE sector in Wigan and Leigh (or is keen to learn).
  • Are you well organised with great attention to detail? The role requires strong organisational and time‑management skills, with the ability to balance multiple priorities.
  • Can you communicate clearly and professionally, building positive relationships at all levels?
  • Are you a confident user of IT systems? Our ideal candidate will be an experienced user of MS Office applications – specifically Excel and Word with experience of creating, managing spreadsheets and are comfortable working with data, systems, and reports.
  • Are proactive, reliable, and flexible, with a problem‑solving mindset?
  • Are you a good team player and enjoy working collaboratively and supporting others to succeed? You will need to work closely with other members of the wider team.
  • Can you act on own initiative, prioritise your workload and work to tight deadlines?
  • Can you demonstrate a commitment to the values of WBCF and a commitment to diversity, inclusion, and challenging discrimination.
