Description of the opportunity:

We are looking for a Volunteer Administrative Officer to support the smooth day-to-day administration of ATML Choir as we continue to grow.

This is an ideal opportunity for someone who is organised, reliable and passionate about community work. You will work closely with the leadership team and volunteers, helping to ensure that information, communications, records and activities are properly coordinated.

The role will suit someone who enjoys working behind the scenes, keeping things organised and helping a growing community organisation operate effectively.

Key Responsibilities

The Volunteer Administrative Officer may be responsible for:

  • Maintaining accurate records of choir members, volunteers and community contacts.
  • Supporting member registration, onboarding and general administration.
  • Managing and organising administrative documents and records.
  • Assisting with attendance records and monitoring participation.
  • Supporting the coordination of rehearsals, workshops, events and community activities.
  • Preparing meeting agendas, notes and action points where required.
  • Supporting communication between the leadership team, volunteers, members and external partners.
  • Responding to routine administrative enquiries and directing enquiries to the appropriate team member.
  • Maintaining calendars, schedules and important deadlines.
  • Assisting with the preparation of reports, updates and organisational documents.
  • Supporting the administration of partnerships, referrals and community engagement activities.
  • Helping maintain appropriate records for funding applications, monitoring and reporting.
  • Supporting general administrative tasks as the needs of the organisation develop.

What We Are Looking For

You do not need previous experience in the charity or music sector. We are particularly interested in someone who is:

  • Organised and able to manage information accurately.
  • Reliable and able to follow through on agreed tasks.
  • Comfortable using email, Microsoft Office/Google Workspace and basic digital systems.
  • A good communicator with strong attention to detail.
  • Able to work independently while also being part of a team.
  • Discreet and respectful when handling personal or organisational information.
  • Proactive and willing to identify ways to improve administrative processes.
  • Passionate about community, music, inclusion and reducing loneliness.

Time Commitment

This is a flexible volunteer role. The exact time commitment can be agreed with the successful volunteer based on availability and the needs of ATML Choir.

Some tasks may be completed remotely, while attendance at occasional choir activities, meetings or events in Manchester may be encouraged.
